The Role:
The Welcome Coordinator owns the top of the client funnel—managing inbound leads, qualifying prospects, and converting them into scheduled consultations.

This is a high-accountability, performance-driven role. Success is measured by responsiveness, qualification accuracy, and scheduled & held appointments—not activity alone.

You will fully own the pipeline from initial inquiry through scheduled consultation, ensuring no qualified lead is lost due to delay, disorganization, or lack of follow-through. This role requires a proactive, results-driven professional who is comfortable actively pursuing opportunities, not simply responding to inbound inquiries. Success in this position requires persistence, urgency, confident follow-up, and the ability to consistently move prospective clients toward action through structured outreach and relationship-driven communication.

What You’ll Do:

Lead Management & CRM Ownership:
  • Manage all inbound leads with immediate response and structured follow-up.
  • Maintain clean, real-time CRM data (Zoho preferred).
  • Ensure every lead has a clear next step—no gaps, no missed opportunities.

Intake & Qualification:
  • Conduct structured intake calls (~15 minutes) to assess fit and readiness.
  • Guide conversations with clarity and confidence toward scheduling.
  • Protect attorney time through strong qualification discipline.

Scheduling & Pipeline Progression:
  • Drive qualified leads through the consultation pipeline by scheduling strategy sessions for attorneys and maintaining consistent follow-up throughout the process.
  • Reinforce value and expectations to drive strong show rates.
  • Ensure clean, accurate handoff for attorney meetings.

Follow-Up & Engagement:
  • Execute persistent, structured follow-up across phone, text, and email.
  • Actively pursue unresponsive or stalled leads with professionalism and urgency.
  • Drive pipeline movement through confident outreach and relationship-building communication.
  • Maintain momentum throughout the sales process rather than waiting for leads to re-engage independently.
  • Ensure prospective clients are prepared and positioned for a productive consultation.

What We’re Looking For:
  • 3+ years in intake, client acquisition, appointment setting, or similar role.
  • Proven ability to proactively pursue leads, overcome hesitation or lack of responsiveness, and consistently drive qualified leads toward scheduled appointments.
  • Experience using CRM systems (Zoho preferred).
  • Exceptional organization, responsiveness, and follow-through.
  • Strong communication skills with confidence and control in conversations.
  • Self-directed, high-accountability performer who takes ownership of outcomes.
  • Comfortable in a metrics-driven, performance-focused environment.

Tools & Systems:
You will primarily work within:
  • Zoho CRM for lead and pipeline management.
  • Zoho Bookings tool to manage consultations and follow-ups.
  • Dialpad for call handling and tracking.
  • Microsoft 365 (Word, Excel, PowerPoint, OneDrive, SharePoint, Teams) for internal operations and document management.
  • Google Calendar for scheduling and calendar management.

Compensation & Benefits:
  • Compensation: $45,000-$65,000 annually and/or $21.63-31.25 hourly, inclusive of performance-based bonus opportunities tied to qualified and held consultations.

  • Office Locations: Albany, NY and Chatham, NY.
  • Work Type: Hybrid.
  • Schedule: Full-time, Monday-Friday.

Performance Expectations:
  • Speed-to-Lead: All new leads contacted same day.
  • Pipeline Discipline: Every lead tracked, managed, and progressed.
  • Scheduling Performance: Strong lead-to-consultation conversion and show rates.
  • Execution: High-volume outreach with structured daily workflow.
  • Ownership: Full accountability for results within the CRM.
