About the Role:
This is not an administrative support position.
As our Estate Planning Matter Manager, you will own every client matter from engagement through signing and completion. You are responsible for keeping cases moving, maintaining momentum, eliminating bottlenecks, and ensuring every client receives a consistent, organized, high-touch experience.
This role requires someone who thrives on accountability, organization, and execution. You'll coordinate clients, attorneys, and support staff while ensuring every file progresses accurately and efficiently.
If you need constant direction or reminders to follow up, this is not the right position. If you naturally take ownership, solve problems before they become issues, and enjoy managing multiple moving parts, you'll thrive here.
Responsibilities:
Case Management:
  • Own each estate planning matter from engagement through completion.
  • Proactively manage deadlines, next steps, and outstanding items.
  • Ensure every file is continuously moving forward.
  • Identify and resolve bottlenecks before they impact clients or attorneys.
Client Communication:
  • Serve as the primary point of contact throughout the planning process.
  • Set expectations regarding timelines, responsibilities, and next steps.
  • Maintain proactive communication so clients always know the status of their matter.
  • Hold clients accountable for providing information needed to keep matters moving.
Attorney Support:
  • Prepare accurate, organized, attorney-ready client summaries.
  • Maintain current client information and update files as circumstances change.
  • Escalate legal issues or client revisions to the attorney promptly.
Signing & File Completion:
  • Coordinate and prepare all pre-signing activities.
  • Conduct signing appointments in accordance with firm procedures.
  • Ensure all executed documents are complete, accurate, and properly finalized.
  • Coordinate billing, payments, and file completion.
Workflow Management:
  • Monitor case pipeline to maintain consistent throughput.
  • Coordinate with attorneys, legal assistants, and administrative staff.
  • Follow established workflows while identifying opportunities to improve efficiency.
Performance Expectations:
  • Success in this role is measured by results.

Key performance indicators include:
  • Open approximately 20 new matters per month.
  • Close approximately 20 completed matters per month.
  • Maintain continuous movement on every active file.
  • Conduct error-free signings with minimal attorney intervention.
  • Deliver attorney-ready client summaries requiring little or no revision.
  • Maintain a consistently high level of client communication and responsiveness.

Qualifications:
Required:
  • 3–5+ years of experience managing multiple active matters in a legal, financial, insurance, or other professional services environment.
  • Demonstrated ability to independently manage deadlines, priorities, and competing responsibilities.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication skills.
  • High level of personal accountability and follow-through.
  • Ability to anticipate issues and solve problems proactively.
  • Professional, confident client communication skills.
  • Strong technology skills, including Microsoft Office and cloud-based software.
Preferred:
  • Estate planning experience.
  • Legal case management experience.
  • Experience with CRM or legal practice management software such as Zoho or Clio.
